POSITION SUMMARY:
The ideal Administrative Assistant (Entry-Level) is a personable self-starter with excellent problem-solving skills. The NDT Admin is an exceptional communicator who coordinates administrative requirements for multiple corporate and field service departments to ensure efficient operations; Supports NDT executives, management, employees, and clients through a variety of administrative tasks.
JOB DUTIES:
- Engage in essential administrative functions to support multiple NDT field service departments.
- Liaise continuously with Executive Admin to VP of NDT and perform delegated tasks related to weekly timesheets, per diems, allowances, and other allocations.
- Utilize familiarity with a variety of administrative best practices, concepts and procedures to effectively deliver high quality support to various NDT management and personnel.
- Review expense reimbursement submissions; Verify receipts and completion of forms; Submit to Accounting for processing.
- Verify all requisitions (travel, procurement, equipment, etc.), obtain necessary approvals based on administrative workflow, and submit to Accounting; Complete requisition tracker and verify bookings/purchase orders.
- Reconcile expense reports; Prepare and monitor invoices for reconciliation.
- Troubleshoot NDT field personnel issues in a timely manner.
- Take dictation and effectively contribute to daily meetings.
- Make suggestions on streamlining processes and procedures to ensure ongoing efficiency in field services support.
- Assist and contribute to projects as delegated from NDT management.
- Engage in experiential and educational growth to develop administrative skills as needed.
- Prepare regularly scheduled reporting that captures specific requested information by mining data, researching, and consolidating information for presentation purposes.
- Exercise the latitude to perform with minimal supervision and be self-directed.
- Effectively manage time and multiple varying tasks.
- Maintain contacts lists, develop/maintain a filing system for NDT records, maintain computer system and engage in applicable admin office tasks.
EDUCATION & KNOWLEDGE REQUIREMENTS:
- High School diploma or GED; Bachelor’s degree in Business Administration or related field a plus.
- 3 years’ experience in a corporate administrative role; Working knowledge of business practices.
- Industry exposure in midstream inspection or technical services sectors a plus.
- Ability to engage multi-disciplinary teams in corporate administration, finance, accounting, field services, and HR.
- Excellent communication and analytical skills in dynamic office setting with the ability to articulate information in short deadlines.
- Admin Proficiencies/Skills: Reporting skills, MS Office, analysis, professionalism, problem solving, supply management, inventory control, office administration procedures, ability to type 30-45 wpm, attention to detail, accuracy, multitask, multi-line office telephone skills, teamwork, discretion, judgment with sensitive information and confidentiality, professional demeanor and business acumen.
